Description

Based at Ravenswood, New Road, Forfar.

Duties

  • Appraising situations to resolve issues and/or develop solutions;
  • Collating, checking and organising returns;
  • Contribute to the development of operational procedures identifying savings and efficiencies wherever possible;
  • Creating, updating and maintaining records;
  • Dealing with members of the public making complex service related enquiries;
  • Dealing with varied One Contact Centre enquiries;
  • Digital tasks including complex data input and word processing, minute taking and the use of a range of software packages;
  • Eliciting, exchanging, providing and explaining information possibly involving research and interviewing;
  • Following a range of routine procedures and instructions, using initiative to make routine decisions and deal with any routine service related problems;
  • Implementing and/or monitoring regulations and council policy;
  • Preparing standard reports;
  • Processing and/or checking a range of financial documentation and authorising further processing;
  • Processing confidential, personal and sensitive information;
  • Recording and monitoring expenditure, where required;
  • Seeking and providing information for and to members of the public and to other members of staff within the organisation;
  • Supervising a team, updating annual/rolling plans, scheduling workloads and activities to meet service demands;
  • To comply with all data protection law in the processing of personal, and special categories of personal data, in line with the council’s full privacy statement and service privacy notices;
  • To comply with data protection law in the management of employees in line with the human resources data protection policy and employee privacy notice.

Essential criteria

  • Two National 5 Grades – including English or relevant Modern Apprenticeship/NC Level 5/SVQ Level 2 in Administration or a minimum of 2 years of relevant office experience
  • Willingness to undertake mandatory information governance training
  •   Excellent customer care skills

  • Experience in dealing with members of the public
  • Experience of working in an office environment
